Purposes of processing
We process your personal data for the following purposes:
- Managing insurance policies: taking out, performing, managing and following up your policies, as well as handling claims.
- Preparing quotes and offers: analysing your situation and your needs to propose suitable cover and compare what the market offers.
- Client relationship: communication, advice, answers to your requests, administrative follow-up and improvement of our services.
- Meeting our legal and regulatory obligations: in particular on anti-money-laundering and counter-terrorist-financing (AML), the duty to advise, accounting and tax.
- Fraud prevention: checking the accuracy of information and preventing abuse.
Legal bases
Each processing operation rests on a legal basis provided for by the GDPR:
- Performance of the contract (art. 6.1.b): to conclude and manage your insurance policy and provide you with our brokerage services.
- Legal obligation (art. 6.1.c): to meet our regulatory obligations (AML, duty to advise, FSMA, accounting and tax obligations).
- Legitimate interest (art. 6.1.f): for managing the client relationship, preventing fraud and improving our services, with respect for your rights and freedoms.
- Consent (art. 6.1.a): where the law requires it, for instance for certain commercial communications or certain cookies. You can withdraw your consent at any time.
Where health data is necessary (for life insurance or guaranteed income cover, for instance), its processing rests on the specific bases set out in article 9 of the GDPR, in particular your explicit consent or the management of the insurance policy.
Categories of data collected
Depending on the policy and the situation, we may process:
- Identification data: surname, first name, address, date of birth, national register number where the law permits.
- Contact details: postal address, email, telephone number.
- Contractual data: policies, cover, renewal dates, claims, history of the relationship.
- Financial data: bank details, payment information, data needed for advice.
- Data on the insured risk: vehicle, home, professional activity, and so on.
- Sensitive data: health data, only where necessary for a specific policy and in compliance with article 9 of the GDPR.
Recipients of the data
Your data is shared only with those needed to carry out our work:
- Partner insurance companies: to prepare offers, take out and manage your policies and claims.
- Our IT processors: in particular Portima (the Brio management software), Microsoft (Office 365, email and collaborative tools, including Copilot), Anthropic (the Claude AI assistant, used for the administrative handling of our files) and our hosting providers, each acting on our instructions and under contract.
- Service providers: loss adjusters, claims handlers, lawyers or others needed to handle a file.
- Public authorities: where the law requires it (FSMA, the tax authorities, AML supervisory authorities).
We never sell your personal data. Your data is mainly processed within the European Economic Area. As some of our processors, in particular Microsoft and Anthropic, may be established or process data outside the EEA, any transfer is governed by the appropriate safeguards provided for by the GDPR.
Retention periods
We keep your data for as long as is necessary for the purposes pursued and to meet our legal obligations. Given the nature of insurance (claims reported long after the events, long-term policies, ten-year liability, occupational diseases), we apply long retention periods:
At the end of those periods your data is deleted or securely anonymised. You may ask for your data to be erased at any time: we act on that request to the extent that no legal obligation requires us to keep it.
Your rights
Under the GDPR you have the following rights over your data:
- Right of access To obtain confirmation that your data is processed and to receive a copy.
- Right to rectification To have inaccurate or incomplete data corrected.
- Right to erasure To request deletion of your data where the law permits.
- Right to object To object to processing based on our legitimate interest, or to direct marketing.
- Right to portability To receive your data in a structured format and pass it to another controller.
- Right to restriction To request temporary suspension of processing in certain cases.
How to exercise your rights
Send your request by email to info@cinassur.be or by post to Cinassur, Rue des Stations 48, 5590 Ciney. We may ask you for proof of identity to keep your request secure. We answer within one month, which can be extended if necessary.
Where processing rests on your consent, you can withdraw it at any time, without calling into question the lawfulness of processing carried out before that withdrawal.

If you believe that the processing of your data does not comply with the rules, you have the right to lodge a complaint with the Belgian supervisory authority:
